Please note that because our Retreats are limited to a specific number of attendees, to allow for a more personable, intimate experience, our cancellation policy is in place to help guests, and us alike, work together sharing expenses that may arise from unexpected cancellations. Depending on when you cancel, cancellation penalties may apply (see below).
We know that no one books a retreat with the intention of cancelling it, but we understand that unexpected events occur. That is why we suggest purchasing travel insurance. It is your responsibility to read and understand our cancellation policies. Unfortunately, we do not offer refunds for failure to attend or failure to complete the retreat, or for arriving late or leaving early. However, we do understand that things happen in life, so we are always willing to work with you and will consider applying any payments to future retreats. Ultimately, we want you to have an enjoyable experience with us, before, during and after your stay at Kinkára. While we have never cancelled a retreat to date, if Kinkára must cancel a booked retreat date for any reason, you may transfer your deposit of full retreat payment to another retreat, or you may request a refund of your payment to us, constituting a full settlement. In this rare instance, we will strive to send notification of cancellation at least 1 month prior to retreat start date. Kinkára cannot be held responsible for any personal expenses, such as airline tickets due to changes in itineraries or retreat cancellations.
Cancellation fees are determined by the following schedule:
100% deposit refund for cancellation 60+ days before event.
50% deposit refund for cancellation 30-59 days before event.
0% deposit refund for cancellation 0-29 days before event.
The remaining balance (total price minus deposit) is due 30 days before the retreat start date.
Cancellation requests submitted within 30 days of retreat date, will not be given a refund.
Hold deposit is non-refundable, however, it is transferable to a future retreat at Kinkara.
Kinkára and all persons involved in retreats (herein after referred to as "AGENTS") act only in capacity as AGENTS for the participant in all matters connected with travel, sight-seeing journeys and transportation, and as AGENTS hold themselves free of responsibility for any damage occasioned by any cause. AGENTS will not be responsible for any damages or expenses or inconveniences caused by late departures or change of schedule, strikes or to their conditions, nor will be responsible for loss or damage to baggage or any of the participant's belongings. All prices quoted are correct at time of printing, include the cost of operation of the journeys, and are subject to currency changes. AGENTS shall not be responsible for personal injury, death, accident, delay, loss, damage, irregularity or property damage as a result of force majeure or for any other losses or damages incurred by any person or journey participants caused by any delay or change of itinerary or arising out of any act, including, but not limited to, any act of negligence, any person acting for or on behalf of AGENTS for transportation, accommodation or sight-seeing provider or any other person or entity rendering any of these services or accommodations being offered in connection with this journey. This agreement supersedes all previous oral or written communications, representations, or agreements between the parties. Participants assume the risk involved when participating in yoga, foreign travel, and any and all activities and/or pursuits voluntarily undertaken while participating in the retreat. Participants agree that any and all disputes between Participants and Kinkára shall be governed by Costa Rican law. Participants agree to mediate any and all disputes prior to the institution of any litigation. In the event of any litigation between the Parties to this agreement involving their respective rights or obligations, such litigation shall take place in the country of Costa Rica, and the prevailing party shall be entitled to recovery of reasonable attorney’s fees and court costs of litigation. In regard to the stay during the retreat, AGENTS will provide safe, careful instruction and safe premises, but ask that each participant to take personal responsibility for their own self-care and (in the unlikely case) for any injuries incurred during retreat. Modifications are given to students with specific needs. If participants are unsure of their physical ability due to previous injuries, they should seek the advise of a healthcare practitioner beforehand.
There will be no refunds for arriving late or leaving early. There are no exceptions to the above cancellation policies including personal injuries or weather.
Kinkára will not be held responsible for any additional travel expenses incurred in preparation for cancelled retreats including airline tickets, travel delays, flight cancellations or illness.
All guests must sign the “Release of Liability and Assumption of Risk” forms prior to or upon arrival. If this form is not signed prior to or upon arrival to the property you will not be allowed to participate in the retreat and no refund will be made.
*As of January 1, 2007 all U.S. citizens need a valid U.S. passport to travel in and out of the U.S. Your passport MUST have at least 6 months remaining before expiration to be considered valid. Please check with your airline or travel agent if you have additional questions regarding necessary documentation both for you and for minors. These requirements can change without notice.
